About the Role: As the Event Marketing Coordinator at Valet Living, you will lead the planning and execution of over 150 small-scale industry events annually, along with supporting larger high-profile activations. This role requires exceptional organizational skills, attention to detail, and the ability to work collaboratively across teams.

Key Responsibilities:

  • Plan and manage all logistics for 150+ small-scale trade shows and industry events each year.
  • Oversee the execution of major events, working closely with the Industry Principal.
  • Handle venue selection, travel coordination, booth setup, catering, and hospitality services.
  • Support client-facing activities, including lunches, dinners, and happy hours, ensuring all details are flawless.
  • Act as the primary contact for all event phases, providing logistical direction and brand consistency.
  • Manage procurement, inventory, and distribution of promotional materials.
  • Collaborate with creative teams to ensure cohesive brand representation at all events.

Collaboration & Vendor Management:

  • Work with marketing leadership and the Industry Principal to align event strategies with brand objectives.
  • Engage with sales, operations, and creative teams to ensure effective messaging and staffing.
  • Maintain partnerships with vendors, negotiate contracts, and ensure quality and timely execution of deliverables.

Budgeting & Reporting:

  • Oversee event budgets including expense tracking and financial reporting.
  • Prepare expense reports, manage invoices, and analyze return on investment.

Required Qualifications:

  • Bachelor's degree in Marketing, Business, Communications, Event Management, or a related field.
  • 2-5 years of experience coordinating trade shows and corporate events.
  • Strong logistical and vendor negotiation skills, with an understanding of budget management.
  • Proficient in project management tools (e.g., Wrike, Asana, Trello) and Microsoft Office Suite.
  • Excellent communication skills, with the ability to solve problems efficiently in a team environment.

Preferred Skills:

  • Experience engaging with executive-level stakeholders.
  • Familiarity with social media and its role in event promotion.
  • Strong attention to detail and proofreading skills for marketing materials.

Compensation & Benefits:

  • Pay rate: $25 - $32 per hour
  • Monday to Friday, 8:00 AM - 5:00 PM schedule
